Honesty works every time, according to the co-owner of a school with one of the best retention among all of EFC’s schools. Rarely does a Tristar student quit. Here’s why:

Writing Gold Paper. Tristar Martial Arts has always excelled at having great retention. We do many things to maintain our retention, but for us it starts right at the Introductory Lessons. We write Gold Paper. In order to write Gold Paper we are “up front” and honest about our programs, our pricing, and the potential student’s monetary responsibilities during the course of their agreement. All students should know exactly what they have to pay for in the coming year, including any equipment they may need to purchase. If a student truly has an issue paying for classes or equipment, we do not want them bullied or lied to in order to get them in, as they may become a retention issue down the road.

The “Message of the Week” system

The best method I have found for reminding our students of the positive benefits of training is through our “Message of the Week” system. Message of the Week is a powerful weapon that can combat the dropout rate. Here are a few of the benefits of teaching a Message of the Week system in your school:

1. A Message of the Week system should be a mini-motivational speech that motivates and encourages your students to seek out and experience the powerful benefits of Martial Arts training. This obviously helps retention because your messages motivate students to continue training, and work toward their goals.

We encourage all school owners and instructors to tell parents at the enrollment conference that if there comes a time when their child wants to quit, they must say, “I have nothing to do with it.” Then the parent must bring the child to a designated staff member when the first signs of withdrawal appear.

This message must be reinforced to parents at later times as well, especially when the first blush of the student’s relationship with martial arts lessons is over. Not all children are going to want to stick it out with martial arts, no matter how beneficial it is to them, and it has to be the school’s job to convince them otherwise.

The other part of this process would be to designate a staff member to talk to the students about why they want to quit and to persuade them to change their minds. This staff member could be the school owner, the program director or one or more instructors. Careful preparation and rehearsal of this conversation would be a fruitful investment of time.

Strength. Identify the strengths that you have and develop them. (Location, staff, student strength, etc.)

Weakness. Learn the weaknesses your school is experiencing and identify ways and means to solve them. (Lack of communication, staff unity, customer service, etc.)

Opportunity . Understand the opportunities available to develop the school and implement them. (Marketing, implementing promotional programs, etc.)

Threat. Take notice of the threats that may be serious hindrance for the development of the school. (Reduction in student count, no new student enrollment, etc.)

Being a martial arts school owner you should get your SWOT analysis done frequently. You should get your staff involved in the analysis. They should bring forth all innovative  ideas, student comments regarding the services your school is providing, any complaints and any other issues which are depriving your school’s development.

Please allow your staff to be free to discuss their ideas and analyze them with everyone in the meeting and categorize them and place them in the appropriate slots in the SWOT analysis.

Follow up the SWOT every week and prepare necessary changes for the next SWOT staff meeting. Discuss with staff the progress your school is making and encourage them to develop new ideas and even suggest them to think about solutions that may help resolve problems.

Bill Taylor, owner of Bill Taylor’s Bushido School Of Karate, sends out a letter to former black belt students in an effort to re-activate them. What is unique about this letter is that he includes an essay that each student wrote upon taking the black belt test exam.

Mr. Taylor also comments upon something that was mentioned in the essay, in order to personalize it, which he feels helps. The idea is to try to re-capture what students felt when they tested for black belt.

These letters are sent to people who tested one, two, three or four years ago. Other than the letter, they also receive a VIP pass and a copy of the last newsletter.

Brave Caernarfon widow battles grief to win karate award

A Wife who battled on following the death of her husband last Christmas Day, is one of just four people around the world to receive a prestigious award.

Jenny Martland received an EFC Black Belt Schools Martial Arts Spirit Award, for her determination to carry on with life following the death of her husband, Dave.

Last Christmas, Dave, 47, had just finished laying the table when he suffered a heart attack.

Jenny and Dave had been married for 22 years, and have two children Sarah, 17, and Andrew, 13. Continue reading

Response to the Summit

This was another summit in which we’re reminded just how much we knew already but didn’t have in place, and also how far we have come as an academy with the help of EFC. The venue was spectacular, with the service of the staff Disneyesque in their attention to detail, something we need to look at, at the dojo.

The lectures all had small gems of information, which we are in the process of documenting and passing on to our staff, and getting implemented. One of these small gems came from Buzz Durkin with his graduation ceremony and having a prize for the parent. We implemented this yesterday evening at our grading and had a draw in which a student won a bouquet of flowers which were presented at the end of the ceremony. This caused a great amount of excitement among the watching parents, and we are convinced we will see major benefit in our retention due to this small item.

This was the first summit that my wife has attended, and she was amazed by the welcome by the EFC UK and USA staff. We have 31 points to implement over the course of the next couple of months, and we have no doubt that we will see significant growth over the next year due to our attendance of the Summit .

Some Dimensions of Student Retention

Bridget Johnson was in our headquarters recently and she told us that the issue that preoccupied her the most was customer service. Her husband, Garland Johnson, and she have decided to have distinctive roles in their schools: he focuses on marketing and new enrollments and she focuses on customer service and retention. Here is an excerpt from the article that will be published in the forthcoming issue of the Eagle Express:

  • Motivational worksops. Universal Kempo Karate offers motivational workshops on a monthly basis, with weapons of choice.
  • Sell of the month. This varies from month to month, and may be a product such as a t-shirt.
  • Academic achievement. Universal Kempo Karate requires kids to bring in report cards, and instructors are looking for improvements in these. (Parents love this.)
  • Talks about character building. This is done frequently by instructors by way of our parables and storytelling focused on the inspirational words of the week.

Increasing the Number of New Enrollments

A high number of new enrollments is easier to achieve than you might think. Keep in mind that it requires a collaborative effort. In other words, there should be between three and five activities directed toward new enrollments. Among them are:

  • Advertisements
  • Web site
  • Open house
  • Birthday parties
  • Circular distribution
  • Signage and walk-in
  • VIP program
  • Sponsoring a new member
  • Demonstrations
  • Buddy nights

Use marketing platforms like graduation day, birthday parties, demos and open house to build interest before attempting to enroll.

On the 15th of every month, you should make a new concentrated effort to carefully plan out your strategy for the following month. The strategy should include and involve at least three of the listed activities. Another highly effective source of new enrollments is direct mail.

Keep in mind that all the listed activities work together to continuously generate new enrollments. Pursue both internal and external marketing methods as they both are equally important. Do not rely on just one method. The director should undertake this important task. Your efforts will pay off handsomely.

In order to ensure the continuing growth of your school, you must enroll 20 to 25 members each month. A minimum of 50% of those members should come from referrals. Though most school owners neglect the importance of concentrating on promotions for attracting new members, don’t let it happen to you.

Powerful, Practical Easy-To-Implement Strategies

* Year-end is fast approaching. Take an ENTIRE day away from work. Just you and a big supply of paper and pens… daydreaming about all the things you want to accomplish in 2009. This “Master List” will be an important tool in establishing your final 2009 goals!
* Is your Holiday Party planned? Have you notified students about the days you will be closed over the holidays?
* Now is the time to finalize your 2009 School Calendar. Remember to include belt promotions; SWAT meetings; special training days; days you are closed… and any other special events you might be scheduling. Tip: get a comprehensive list of all holidays (secular, religious, etc) and make and double check your calendar against the list.
* The approach of Thanksgiving makes this a good time to plan ahead for expressions of gratitude. In fact, make a list of at least 25 people to whom you owe an expression of gratitude. Then, during the month of November, fulfill all of these obligations.
* Do a “safety check” on your facility. How are your exit lights? Have you checked your fire extinguishers lately? How about the batteries on your smoke detectors? How is your alarm system functioning? Check these now. Better safe than sorry.

Exit Interviews

Here is something that’s unique to EFC Australia that schools elsewhere can learn from:

The culture and legalities of Australia are pro-consumer, and students cannot be bound to the agreement and made to pay after they decide to quit. So when a student calls EFC Australia to cancel, the caller is instructed to go to the school for an exit interview, to sign a cancellation form and pay a fee.

The exit interview is usually eye opening for the school, as they can learn how they can prevent similar situations in the future, by finding out why the student “fired” them.

The consumer-oriented approach may be something others can learn from.

Because in order for you to stay on top of the martial arts game, you have to go to the best conference. For instance, when we are talking about 45 minute classes, where did we get that idea from? EFC. Did it work well? Yes. When we first started our business and talked about contract amount vs. people taking money in each day, it gives us longevity, because we know that the contract amount will be there. The Famous Extension Conference
